Let me put you in the recipient’s shoes. Let’s say you’re listening to your voicemails. Is that all you’re doing? Are you sitting diligently listening to those messages and fervently taking notes? Probably not. Most likely you’re multi-tasking, like most of us do. We’re checking email. We’re looking at computers. Whatever else we’re doing, our attention is not on that message completely. So what we need to do is deliver effective voicemail messages so that the information can be captured. Here’s how.
When you call and start to leave a message, first, state your name and then state your contact information. Then, state the purpose for your call or the call to action. After that, you’re going to repeat your name and repeat your phone number. You’re going to repeat your phone number two times again, so if they’ve started to write it down they can definitely get it. Then, of course, end with some type of pleasantry. Because who doesn’t like being nice?
